I understand that there will be a draw for allocation of tables and that it will be conducted in accordance with the system that has been established by the RCNA Only those who have a Bourse Table at the 2008 C.N.A. Convention and whose completed application and deposit have been received for the 2009 RCNA Convention prior to the draw will be eligible for the first group of table allocation draws. Full details of the procedure are contained in the following pages, as are the General Rules and Conditions governing this Application.
This is an application only and must be approved by the Canadian Numismatic Association, which reserves the right to refuse any Bourse application.
Draw System to be used to determine seniority of RCNA dealers to choose table space locations at RCNA Conventions:
To be eligible to enter this draw, the dealer must have a table at the current convention and have paid a deposit on his table for the upcoming convention.
This draw will be conducted by the RCNA Executive Secretary in accordance with the following.
The first name drawn will have first choice of table location, the second name will have second choice of location and so on.
DRAW # 1 -- will contain only the names of dealers present who have a table, have paid their deposit on the next year’s table and have attended at least 12 out of the last 15 conventions.
DRAW # 2 -- will contain only the names of dealers present who have a table, have paid their deposit on the next year’s table and have attended at least 10 out of the last 13 conventions.
DRAW # 3 -- will contain only the names of dealers present who have a table, have paid their deposit on the next year’s table and have attended at least 8 out of the last 10 conventions.
DRAW # 4 -- will contain only the names of dealers present who have a table, have paid their deposit on the next year’s table and have attended at least 5 out of the last 10 conventions.
DRAW # 5 -- will contain all other dealers present who have a table and have paid their deposit on the next year’s table.
After these five draws have taken place, dealers that did not qualify for the above reasons shall be offered a Bourse Table on receipt of a completed Bourse Application along with a deposit on a first come, first served basis.
GENERAL RULES AND CONDITIONS
The bourse applicant must be a fully paid up and accepted member of the Canadian Numismatic Association. No table may be transferred, sold or leased, shared or sublet, in whole or in part, by the dealer approved to use that specific space without consent of the Bourse Chairman after consultation with the RCNA Coordinator.
Any dealer wishing officially to split with another eligible dealer will be charged an additional fee of $100.00. For this “splitting” to be officially recognized it must be carried out, and approved by the Convention Committee and the RCNA Coordinator, no less than 30 days prior to the commencement of setting up the bourse room for the Convention. The second dealer will be entitled to a “dealer sign” and will be officially recorded as being in attendance at the Convention. No official splitting of table space will be allowed after the 30 days period. Dealers splitting table at this time will not be allowed a table sign and they will not be officially recorded as being in attendance. They must, however, be recorded with the Bourse Chairman as being allowed to work behind another dealer’s table.
Payment schedule: A minimum of 50% of the total fee set down by the RCNA Executive Committee shall be payable when the dealer submits his application to the Bourse Committee. The balance will be payable no later than April 20, 2009, 90 days prior to the opening of the Convention. Failure to pay the balance by April 20, 2009 could be considered a “cancellation” of the table and the table may be allotted to another applicant.
No refund of the table fee will be considered if refund request is received after April 20, 2009 except in the case of death or severe illness in the dealer’s immediate family. However, if the table space is sold by the Convention Committee prior to the opening day of the Convention, the deposit held by the Committee, less a $100.00 cancellation penalty, may be refunded to the applicant on authority of the RCNA President. Cancellations of “Application for Bourse” received prior to the 90 days in advance of the Convention opening day shall have their total deposit refunded less a cancellation penalty of $50.00.
Reasonable security measures will be provided throughout the Convention by the Convention Committee. Dealers and Exhibitors are warned that the presence of security personnel and of systems does not constitute a guarantee against loss, an insurance policy or a promise to indemnity in the event of loss by fire, theft or other casualty. Dealers and Exhibitors are expected to insure themselves against any loss which they might sustain.
All merchandise presented for sale at the Convention must belong to the designated dealer or be under his/her control, and must be properly described. No dealer signs other than that supplied by the Convention Committee will be allowed except for small signs showing “specials” on the table itself since the contract with the Convention hotel makes us liable for damage caused by taping of signs, etc. All other (large) signs must be pre-approved. As this is a Numismatic Convention, a minimum of 80% of table space, by volume, must be numismatic related items.
Each dealer is responsible to obtain any necessary license, Federal, Provincial or Local tax form, etc. at their own expense.
DEALERS FROM OUTSIDE CANADA: Please verify the Canada Customs and Revenue Agency’s regulations concerning attendance as dealers at shows and Conventions in Canada.

There will be no consumption of alcoholic spirits, of any type, in the Bourse or display area, nor is smoking allowed in other than areas specifically designated by the hotel and local/provincial health departments. As well, no pets are allowed in the Bourse area.
Dealers are advised that the Bourse application is not a request for hotel accommodation or anything other than an application for bourse space. The table fee does not include a banquet ticket, nor a Registration Kit or Convention Medal. Requests for these items must be made on the 2009 RCNA Registration form and mailed to the address indicated on the form.
A table allocation may be cancelled by the President of the RCNA if he receives a major complaint prior to the official opening of the Convention.
WAIVER
The undersigned agrees to accept the space allotted and agrees to abide by the Laws of Canada, of the Province of Alberta and of the City of Edmonton, the General conditions and Rules set out above, and by the following waiver:
We, our successors and assigns, agree not to hold you, the Convention Committee, the Executive Officers, Directors and members of the Canadian Numismatic Association, and the Delta Edmonton South Hotel and Conference Centre, including your servants and agents, the hotel staff, either jointly or severally responsible, directly of indirectly, for any personal injury, property damage of numismatic material or losses, errors, mishaps, however caused, whether or not the result of any negligence, which we the undersigned may suffer or incur, before, during or after the subject Convention.
